Cancellation Policy – Reservations DesK

Cancellation Policy – Reservations DesK

Reservations DesK follows cancellation procedures established by airlines, hotels, and other travel suppliers. Any cancellation request is subject to the applicable rules and conditions of the service provider involved. We encourage customers to review this policy carefully before submitting a cancellation request.

1. Non-Refundable Reservations

Flight reservations arranged through Reservations DesK and any associated service charges are generally non-refundable.
Once a reservation has been confirmed, requests for name corrections, traveler substitutions, date changes, or itinerary modifications may not be permitted unless specifically authorized by the travel supplier.

2. Cancellation Authorization

Submitting a cancellation request does not automatically result in cancellation approval.
Approval is determined solely by the policies and conditions established by the airline, hotel, or travel supplier.

3. Travel Credits Issued by Airlines

When permitted by the airline, cancellations may result in a travel credit rather than a monetary refund.
Travel credits are typically restricted to the original passenger and airline and must be used within the validity period specified by the airline.
Additional restrictions and conditions may apply depending on the carrier’s policies.

4. Customer Responsibilities

If a supplier permits cancellation, customers are required to contact Reservations DesK through our customer support telephone service as soon as possible. Cancellation requests must be submitted before the scheduled departure date or hotel check-in date to be considered.

5. Telephone Cancellation Requests Only

To protect customer information and ensure proper verification, cancellation requests are accepted only through our customer support phone line. Email-based cancellation requests cannot be processed.

6. Multi-Carrier Travel Bookings

For itineraries involving multiple airlines, each carrier's individual cancellation policy will apply to its respective travel segment. The overall outcome may be influenced by the most restrictive policy among the participating airlines.

7. Airline Schedule Changes

If an airline changes, delays, or cancels a flight that affects other segments within the itinerary:

  1. Any additional costs, fare differences, or modification fees required for unaffected travel segments will be the responsibility of the traveler.
  2. Airlines may also impose separate administrative or reissue charges where applicable.

8. 24-Hour Cancellation Window

Many airline tickets, hotel reservations, and related service charges become non-refundable after the initial 24-hour period following booking confirmation, subject to supplier rules and restrictions.

9. Cancellation Eligibility

Cancellation requests can only be processed when all of the following conditions are satisfied:

  1. The request complies with the supplier’s fare or reservation rules
  2. The traveler has not been classified as a No-Show
  3. The airline, hotel, or supplier provides authorization
  4. Any required waivers or supporting documentation are approved
Without authorization from the relevant supplier, cancellation requests cannot be completed.

10. No-Show and Unused Services

Travelers who fail to appear for scheduled flights, accommodations, or other booked services may not qualify for cancellation processing, credits, or refunds under supplier policies.

11. Cancellations After Travel Commences

Once travel has begun or the departure date has passed, cancellations, refunds, or credits may no longer be available unless specifically permitted by the applicable travel supplier.

12. Fare Variations Prior to Ticket Issuance

Travel fares may fluctuate between reservation creation and final ticket issuance.

  1. If the fare increases before issuance, the customer may be required to pay the additional amount.
  2. If the fare decreases, previously quoted or paid amounts may not be adjusted or refunded.

In rare circumstances where a reservation cannot be ticketed, we will contact you regarding available alternatives.

13. Payment and Ticket Issuance

Travel documents and tickets are generally issued only after full payment has been received. Any approved changes or cancellations after issuance may be subject to airline penalties, supplier charges, and applicable service fees.

14. Policy Enforcement

If any section of this Cancellation Policy is determined to be invalid or unenforceable, all remaining provisions shall continue in full effect.
Reservations DesK reserves the right to suspend, limit, or terminate access to its website or services at its discretion, without prior notice where permitted by law.
